How the Software Works (Step by Step)
Reminders For Clinics is built for small and mid-size clinics that want fewer no-shows and less front desk workload — without integrations and without cloud dashboards.
The system runs locally on a Windows clinic computer and sends WhatsApp reminders, confirmations, and automated replies using simple templates and workflows.
Quick overview
This keeps the workflow simple and predictable for clinics.
Step-by-step: how it works
Step 1) Download & install (Windows EXE)
You download a simple EXE installer and install the software on your clinic Windows computer. Most clinics complete installation in under 10 minutes.
Step 2) Open the software on the clinic computer
The system runs locally. This is important for privacy and control.
Step 3) Set up your clinic profile
You set your clinic details so every message looks professional:
- Clinic name
- Clinic phone number
- Clinic signature (the sign-off text at the bottom)
Step 4) Create your message templates
Clinics create a few core templates that cover 90% of daily workflow:
- 48-hour reminder + confirmation
- 24-hour confirmation reminder
- Same-day reminder (optional)
- Instructions message (with attachment)
- Post-visit follow-up (optional)
Templates can be customized for your clinic tone and branding.
Step 5) Attach files to messages (optional but powerful)
One of the most useful features is sending attachments through WhatsApp. Clinics commonly attach:
- PDF instructions or forms
- Images (parking map, directions)
- Videos (preparation or aftercare guidance)
- Audio clips (short voice instructions)
Step 6) Choose your reminder schedule (24h / 48h / same-day)
Clinics typically use:
- 48 hours before: reminder + confirmation
- 24 hours before: confirmation reminder
- Same-day (optional): short reminder
The scheduler supports:
- scheduling messages for a specific future date and time
- a daily workflow: send reminders for patients scheduled today, in 2 days, in 3 days (or any timeframe you choose)
Step 7) Patients reply (YES / NO / keywords)
Patients respond quickly in WhatsApp. Clinics commonly use:
- YES = confirmed
- NO = needs reschedule
- ADDRESS = directions
- PARKING = parking info
- INSTRUCTIONS = resend instructions
- RECEIVED = confirms instructions received
Step 8) The bot responds automatically
The system can send automatic replies based on patient responses and keywords. This reduces manual work for the front desk.
Step 9) The clinic handles exceptions only
Instead of calling every patient, staff focuses only on:
- patients who reply NO
- patients who ask questions
- patients who did not confirm
This reduces front-desk workload and protects the schedule.
What the software does NOT do (by design)
- No integrations required
- No cloud patient database
- No patient data stored inside the software
