Monthly subscription explained

Reminders for Clinics is sold as a monthly subscription. Your subscription gives your clinic full access to the software and all features, including unlimited appointment reminders and automated messages. Billing renews automatically each month so your clinic stays active without interruptions.

Our system is designed for small and mid-size private practices that want a simple and reliable way to reduce no-shows without changing their current systems. The software runs locally on your clinic computer (Windows), without storing patient data on third-party cloud servers.

Licensing rules (1 license = 1 computer)

A license is assigned to one clinic computer. In simple terms: one subscription license equals one Windows computer where the software is installed and used.

This licensing model keeps billing transparent and fair for clinics of all sizes. A solo private practice usually needs one license. A larger clinic with multiple front-desk stations often requires more than one license.

  • 1 computer at the front desk → 1 license
  • 2 computers used for reminders by staff members → 2 licenses
  • Separate branches / locations → licenses depend on how many computers run the system

If your clinic changes computers (replacement, upgrade, or IT maintenance), contact support and we’ll guide you through the correct way to continue using the software according to your subscription.

How licensing works for multi-computer clinics

Many clinics operate with more than one computer — for example, two reception desks, a back-office workstation, or a second branch. If reminders are created and sent from multiple computers, each computer needs its own license.

If you’re unsure how many licenses you need, here’s a simple guideline: count the number of Windows computers where the software will be installed and used. That number is the number of licenses required.

Multi-computer clinics: quick guidance
  • If only one receptionist computer runs the software → 1 license
  • If two different computers send reminders → 2 licenses
  • If you have multiple clinic locations → licenses depend on computers per location

Canceling your subscription (how it works)

You can cancel at any time. Cancellation stops future renewals — meaning you will not be billed again after the next renewal date is removed. Your subscription will remain active until the end of the current billing period.

What happens when you cancel
  • Your clinic keeps access until the end of the paid monthly period
  • Automatic renewals stop
  • You will not be charged again unless you subscribe again

If you subscribed via PayPal, you can also manage or cancel the subscription directly inside your PayPal account (Subscriptions / Automatic payments).

Refund policy & billing FAQ

We aim to keep billing simple, transparent, and fair. If you believe you were billed in error, contact us as soon as possible. We will review the case and respond quickly.

Do you offer refunds?
Refund eligibility depends on the situation and timing. If you were charged incorrectly or experienced a technical issue that prevented use, contact us and we will investigate and help. We respond by email and handle cases fairly.
How do I get an invoice or receipt?
Subscription payments are processed securely through PayPal. You can download receipts directly from your PayPal payment history. If you need help locating a receipt, email us and we’ll guide you.
What if I accidentally purchased the wrong number of licenses?
Contact us right away. We’ll help you adjust your subscription to match your clinic setup and ensure you have the correct number of licenses.
Can I pause the subscription?
At this time, the subscription can be canceled and re-activated as needed. If you need a special billing arrangement, contact us.
